Room bookings for staff

How to book a room
You will need your staff ID number to make a booking.
Visit: bookaroom.beds.ac.uk
- In the ‘Your Library Card Number’ box, type your staff ID card number (including the "x").
- In the ‘Select room type’ box, choose which room would suit your needs. Details about room capacities and facilities are below.
- Select booking date and click “Continue”.
- A new page will appear displaying booking times for the room.
- Click in the box you want your booking to start.
- A dialogue box will display asking, “Do you want to select this time slot?”
- Click ‘ok’ and continue to do this for each hour you would like your booking to continue.
- Click on "Confirm". The page will now display booking confirmation details including a 4-digit PIN number, which you will need to enter the room on the day of your booking.
It’s a good idea to take a note of it, although it will be contained in a confirmation email sent to your staff email address.
A staff member can book up to 7 hours per week. Bookings are only available in hourly time slots.
On the day of your booking:
- You must swipe in within 10 mins of the start time, or the booking will be cancelled.
- If the room is empty you can swipe in up to 15 minutes before your booking is scheduled to start.
- Swipe the kiosk (black box with display screen near the room's door) with your ID card. Follow the on-screen instructions to type in the PIN number and the door will open.
- If you no longer need your room booking, please cancel it via bookaroom.beds.ac.uk. Select the "View/Cancel Existing Booking" button.

L106 - capacity of 20 people
- A webcam, 4 plectrum table arrangements with four large screen PCS per table, 2 presenter screens, lectern has PC / Visualiser, collaborative software, 2 glass boards.
L107 - capacity of 20 people
- A webcam, 20 push down PCs on circular tables, 2 presenter screens, lectern has PC / Visualiser, 2 glass boards.
L108 - capacity of 15 people
- 15 student PCs on rectangular bench style tables, 1 screen, lectern has PC / Visualiser
Level 6
L607 - (Cloud Deck) Capacity of 26 people. We ask for a minimum occupancy of 10 people per booking.
- Flexible tabling with tabletop power
- A mobile screen and laptop are available on request. Please email library services when you make your booking.
- If you would like the AV trolley, please email carly.ramirezherelle@beds.ac.uk when you make your booking.
Terms and Conditions
- The bookable rooms detailed above in Luton campus library can be booked by University of Bedfordshire staff only.
- These library facilities can be booked for use by groups of a minimum of 4 people and their respective maximum number.
- Bookings can be made a maximum of 2 weeks in advance at bookaroom.beds.ac.uk
- There is a staff allowance of a maximum of 7 hours of bookings per week per person.
- Block bookings are not permitted.
- Please do not leave personal belongings unattended.
- Chairs and tables are provided in the rooms. Please do not bring in additional furniture from other areas of the library.
- Catering is allowed in the Cloud Deck (L607) only. Catering trolleys must be removed from the library after the booked session.
- Drinks can be taken into any of the rooms.
- Please can we ask that the rooms are left clean and tidy ready for the next booking.
- The person making the booking is responsible for all losses and damages.
